Fabric wave ceiling installed in an indoor event space

Choosing a Suspended Fabric Ceiling

A venue-first guide for weddings, ballrooms and hotel events.

Fabric ceiling systems are often chosen from photographs, but photographs do not show the conditions that determine whether a design can be delivered. Where suspension is possible, how much usable clear height remains, how the venue supplies power, and which approvals must be completed all shape the concept before colors, silhouettes, or lighting effects are finalized.

Lilisaura approaches these projects as custom suspended ceiling work rather than catalog purchases. The LED Wave Ceiling pairs a suspended fabric field with programmable illuminated wave edges; the Sculptural Cloud Ceiling is a non-illuminated, form-led installation. Both are developed around the room and its constraints.

Selecting by venue type

Wedding receptions

For wedding receptions, begin with sightlines rather than style: what must remain visible, where guests enter, where the couple and vendors work, and which overhead elements are fixed. The LED Wave Ceiling may be appropriate when the design calls for luminous edges; the Sculptural Cloud Ceiling may suit a scheme built around volume and silhouette. These are design directions, not fixed packages. Confirm that the suspension zone avoids sprinklers and other overhead safety equipment, lighting, air distribution, and other vendors' rigging, and review installation access alongside the event plan.

Ballrooms

Ballrooms combine visual volume with dense overhead services. Rendering clarity can hide conflicts with chandeliers, trusses, projection, or house lighting. The venue's technical lead should mark those items on a reflected ceiling plan and identify zones that may be used for suspension. If the room is divided for different events, confirm how partitions, movable walls, and layouts affect the usable ceiling area. For repeat events, confirm whether the venue accepts the same attachment approach or requires a fresh review.

Hotel event spaces

Hotels may present several rooms under one contract, each with different overhead conditions and approvals. Treat each room as its own technical brief. Collect venue standards for vendor access, working hours, load-in, and document submission, then compare them with the event schedule. A consistent visual language can carry across rooms, but suspension and installation plans should be confirmed room by room. Lilisaura's end-to-end scope covers design, production, and on-site installation; the venue still controls site access, engineering verification, and approval of work in its building.

Selecting by rigging and clearance conditions

Rigging locations and capacity

The starting document is a reflected ceiling plan coordinated with the venue's structural or rigging authority. Ask where suspension is permitted, which points are available to event vendors, who verified their capacity, and which attachment methods the venue accepts. Never infer capacity from a drawing or the presence of a beam. Identify points reserved for house equipment and areas where drilling, clamping, or other fixing is prohibited. If the available points do not align with the desired shape, the design must change or the project must pause; the ceiling is not an unlimited support grid.

Available clear height

Usable height is not simply floor-to-slab dimension. Beams, ducts, sprinklers, lighting, rigging hardware, and temporary production equipment can reduce the space available for suspended fabric. The venue should define the lowest overhead obstructions, the clearance required beneath them for event operations, and areas where the finished installation must preserve sightlines. Record these conditions across the room, especially where geometry steps or services converge. Height affects how wave forms, cloud volume, or perimeter treatments develop, but the exact response belongs in project drawings after the survey.

Power and technical access

An illuminated design introduces additional venue questions. Confirm where event power is available, who may connect, how cable routes will be protected, and where controls can be operated without interfering with guests or other vendors. Distinguish house power from temporary event power, and ask whether the venue requires its own electrician or an approved vendor. A non-illuminated Sculptural Cloud Ceiling may not need power for its visual concept, but installation access still requires review. Electrical scope and responsibility should be written into project documents rather than settled on site.

Venue approvals and documentation

Approval is a process, not a single signature. The venue may also require drawings, an installation method statement, access arrangements, insurance information, and the material and installation documentation it specifies. The exact package is set by the venue; Lilisaura submits the corresponding documents within the project. The venue should also identify who is responsible for structural verification, who signs off on overhead work, and when submissions are due. Build these requirements into the brief so a late approval does not force redesign.

The three-step delivery process

Share your venue

Begin with the room, not a product selection. Share plans, elevations, reflected ceiling information, photographs, venue rules, event layouts, and intended use. Identify the venue's technical contact and the person who can confirm rigging and approval questions. A clear brief should separate confirmed facts from assumptions, because an unresolved condition can change the design. For multi-room hotel work, submit the rooms as a set but keep each room's conditions distinct.

Approve the design

Lilisaura translates the brief into a site-specific design and reviews it against the venue information gathered. The approved package should establish visual direction, suspension strategy, interfaces with house systems, power scope for an illuminated design, and responsibility for approvals. Commercial terms are provided in a written, project-specific quote; no catalog unit price or fixed schedule is assumed. Production should begin only after design, documentation, and venue review points are closed.

Install on site

Installation is coordinated with the venue team or local partners and planned around access rules and the event calendar. Before the installation window, confirm approved drawings, material delivery, site access, power arrangements, and the people authorized to inspect or accept the work. The install team should know which overhead elements are off-limits and whom to contact if site conditions differ from the survey. The venue and client should then complete their agreed inspection and handover process.

Planning

Frequently asked questions.

Can a ceiling design be reused in different rooms?

The visual language can be adapted, but the technical solution should not be copied without review. Rigging points, obstructions, access, and approval requirements differ from room to room. Lilisaura develops each design around the venue information supplied for that project.

What happens when a room has limited rigging points?

Do not assume a suspended system can be attached wherever the design looks best. The venue's rigging authority should confirm what is available and acceptable. If conditions do not support the scheme, the design must be revised or the project paused until the venue provides a workable direction.

Does an illuminated ceiling need power from the venue?

An illuminated design requires a confirmed power and control arrangement. The venue should identify the available source, permitted connection method, cable-routing requirements, and who may perform the work. Lilisaura assumes neither that house power is available nor that a vendor can connect without approval.

What should the venue review before approving a suspended fabric ceiling?

The venue should review site-specific drawings, the installation and access plan, structural and rigging responsibilities, electrical scope for an illuminated design, and any material and installation documentation the venue requires. The exact submission package depends on the building and event, so confirm it directly with the venue's technical team.
